Exhibiting in the Netherlands

A local event manager for your Dutch trade fair

For international companies exhibiting in the Netherlands, we coordinate preparations, suppliers, exhibitor requirements, on-site delivery, and the follow-up afterward, so your team can focus on the visitors at your stand and your leads don't go cold.

The challenge

Exhibiting abroad means a lot of deadlines in someone else's language

Exhibitor manuals, organizer portals, service orders, supplier quotes, staff travel, and a stand builder who needs answers. Usually it all lands on a marketing team that's also doing its day job.

01

Missed deadlines cost money

Late service orders and badge registrations often mean surcharges, or simply not getting what you need on the day.

02

Suppliers need one point of contact

Your stand builder, AV, catering, and freight work best when one person keeps them aligned to one plan.

03

Leads go cold after the show

Back at the office, inboxes fill up and follow-up slips. The weeks after a show decide what it was worth.

How we support you

Before, during, and after the trade fair

  • Review of the exhibitor manual and requirements
  • Liaison with the exhibition organizer
  • Coordination with your appointed stand builder and other suppliers
  • Staff schedules, exhibitor logistics, and budget tracking
  • Lead-capture process planning and a staff briefing
During

On-site management

  • Stand handover checks with the builder
  • Daily team briefings and schedules
  • A single on-site contact for suppliers and the organizer
  • Problem-solving, so your team stays with visitors
  • Keeping lead capture on track throughout the show
After

Follow-up and debrief

  • Coordination of the dismantling handover with your builder
  • A post-event debrief: what worked and what to change
  • A handover of outstanding actions, so nothing is lost after the show
  • Optional: full post-show lead follow-up, from cleanup to results summary

Post-show follow-up

The show ends. The follow-up is where it pays off.

Badge scans and business cards are only worth something once someone follows them up. We make sure that happens quickly and consistently, while your visitors still remember your stand.

  1. Plan it before the show

Agree what counts as a hot lead, what to capture at the stand, and who follows up.

  2. Clean and prioritize

Merge scans and notes, remove duplicates, and sort leads by priority.

  3. Hand over and follow up

Leads go into your CRM with follow-up drafts and an owner for every priority lead.

  4. Report results

A summary of leads, meetings booked, and next steps, plus lessons for the next show.

Beyond the Netherlands

Exhibiting elsewhere in Europe?

The same support is available for major trade fairs across Europe. Our founder's exhibition experience includes shows in Germany and Monaco: Ambiente in Frankfurt, Spoga+Gafa in Cologne, and the Monaco Yacht Show.

Trade fairs outside the Netherlands receive a bespoke proposal that reflects travel, local suppliers, and on-site days.

Questions

Exhibiting in the Netherlands: common questions

Do you design or build exhibition stands?

No. Meidoorn Productions is an event management business. Specialist suppliers design, build, install, and dismantle stands. We coordinate with the stand builder you appoint so their work fits the rest of your plan and the organizer's deadlines.

We're not based in the Netherlands. How does this work?

Preparation runs remotely through scheduled calls and a shared plan. With Exhibition Management, your event manager is also on-site with your team during the show. You get one dedicated local contact throughout.

What happens if something goes wrong during the show?

Every show is prepared with a detailed schedule, supplier contacts, and contingency plans agreed in advance, so problems are solved quickly on the day. If your stand needs more hands on-site, additional event staff can be arranged as part of your proposal.

Which trade fairs and venues do you cover?

Trade fairs across the Netherlands, at venues such as RAI Amsterdam, Jaarbeurs Utrecht, Rotterdam Ahoy, and MECC Maastricht. Our founder's own Dutch exhibition experience includes a booth at Solar Solutions Amsterdam. Trade fairs elsewhere in Europe receive a bespoke proposal.

When should we get in touch?

As early as possible, ideally soon after you've booked your stand space. Many exhibitor deadlines fall well before the show, and early planning gives you more choice of suppliers and better prices.

Can you help with follow-up after the show?

Yes. Every exhibition package ends with a debrief and a handover of outstanding actions. For hands-on support, the Post-Show Follow-Up add-on covers lead cleanup and prioritization, CRM handover, follow-up email drafts, and a results summary.

Can you be on-site for more than two days?

Yes. Exhibition Management includes up to two on-site days of eight hours each. Additional days are added for an agreed fee. For Exhibition Preparation, on-site attendance is quoted separately.
